What schools usually ask us

Most trip leaders need the same few things for permission letters and risk assessments: the vehicle type and capacity, confirmation of seat belts, the driver’s name and the timings for departure and return. We put these in writing once the trip is confirmed, together with the planned route and estimated journey times for letters to parents. For girls’ schools, female chauffeurs and hostesses can be arranged on request, subject to availability, and Arabic-speaking drivers are available too.

On the day, the driver arrives early, checks in with the lead teacher and waits at the venue’s coach bay. If the timetable changes — a museum session overruns, a match goes to extra time — the driver adjusts, and any additional time is charged at the rate on your quote.

Additional needs and accessibility

If a student uses a wheelchair or has additional needs, tell us when you enquire. We will advise honestly which vehicles suit, whether a separate vehicle would work better, and how to plan boarding at both ends of the journey. Hostesses can be arranged on request to help younger students, subject to availability, and drivers are briefed on any medical or travel notes the school chooses to share.

Sports fixtures and inter-school events

Teams travel with kit bags, water and sometimes a long day ahead. For fixtures at Zayed Sports City, on Hudayriyat Island or in Al Ain, we use vehicles with luggage space and plan the return for after the final whistle, including evening finishes. For tournaments over several days, the same driver can stay with the team throughout.

Planning around the school year

The cooler months from October to April are the busiest for school trips, and the weeks before the end of each term fill quickly. Book early for fixed dates, and tell us about exam weeks or prayer times you need to work around. In the warmer months, we suggest earlier starts and indoor destinations, and keep vehicles cool before the students board.
