Delegation transport in Abu Dhabi is rarely a single journey. Principals arrive on one flight and staff on another; meetings move; a dinner is added at short notice; a site visit runs long. The transport has to absorb all of that quietly, so the visit looks effortless from the outside. We plan cars, vans and coaches for official, diplomatic and corporate delegations as one coordinated programme, with a single point of contact from the first draft of the itinerary to the final departure.

Building the convoy

Each part of a delegation has different needs, so we match vehicles to roles:

Arrivals at Zayed International

We collect honoured guests from Zayed International’s private terminal as well as from the main arrivals hall at Terminal A. For larger delegations, a luggage vehicle can follow separately so principals leave the airport without waiting for bags. Every flight on the manifest is tracked, and vehicles are released to the timetable as each group lands, so nobody waits at the kerb for colleagues on a later flight. For discreet arrivals, name boards can be left out entirely.

Protocol and conduct

Our chauffeurs are briefed before every assignment: seating order, door-opening sequence, forms of address and the dress expected for government and royal-court visits. Arabic- and English-speaking chauffeurs are available on request. They are discreet by habit — no conversation unless invited, no phone calls of their own in the vehicle and no discussion of passengers or schedules with anyone outside the programme.

Venues are approached the way their hosts expect, whether that is a ministry, Qasr Al Watan, a hotel on the Corniche or ADGM on Al Maryah Island. Where a venue has its own arrival arrangements — a set gate, a ceremonial welcome, a holding area for drivers — we follow them to the letter.

Working alongside security and hosts

Many official visits involve host liaison officers or a delegation’s own security team. We do not provide security, but we work alongside those who do: sharing vehicle registrations and driver details in advance, following the convoy order they set, and keeping to the approach routes and holding points they agree with each venue. Drivers stay with their vehicles unless told otherwise, so the convoy can move the moment it is needed.

Between engagements, vehicles wait at agreed holding points near the venue rather than at the entrance, and come forward on the coordinator’s call. At hotels and residences, we agree the order of vehicles at the entrance with the front-of-house team in advance, so principals step straight into the right car.

The running order

Before the visit we agree the manifest, vehicle assignments, timings and the contact chain. An on-site coordinator travels with or ahead of the convoy, keeps the drivers informed as plans move and reassigns vehicles when a meeting runs long. Changes that add hours are confirmed against the rates on your quote, and after the visit you receive a single invoice for the whole programme.

Women’s delegations and family members

Where a visit includes a women’s programme or accompanying family members, female chauffeurs and hostesses can be arranged on request, subject to availability. Separate vehicles and timings can run in parallel with the main convoy — shopping, cultural visits or a private lunch — under the same coordinator and the same running order.

Can you coordinate vehicles for a delegation arriving on different flights?

Yes. We work from the full manifest, track every flight and release vehicles as each group lands, so principals are not kept waiting for staff and staff are not stranded waiting for principals. The coordinator keeps the running order updated as flights move.

Are your chauffeurs briefed on official protocol?

Yes. Before every assignment, chauffeurs are briefed on seating order, door-opening sequence, forms of address and dress, and we take guidance from your protocol office on anything specific to your visit or your principal. The briefing is repeated whenever the programme changes.

Can a separate vehicle carry the delegation’s luggage?

Yes. A dedicated luggage vehicle — usually a Sprinter — can follow from Zayed International so principals leave the airport without waiting for bags. It meets the convoy at the hotel or residence, and the luggage is delivered to rooms with the hotel’s team.

Can vehicle assignments change at short notice?

Yes. Our on-site coordinator reassigns vehicles as meetings move, keeping drivers informed and the running order up to date. Changes that add hours are charged at the rate already written on your quote, so there are no surprises when the programme flexes.

Do you take briefings from embassies and protocol offices?

Yes. We work to the host’s requirements: we take the programme, seating plans and any specific instructions from your protocol or events team, and confirm our transport plan back to them in writing before the visit begins, with a named contact for the duration.

Is the delegation’s schedule kept confidential?

Yes. Programmes, manifests and passenger names are shared only with the drivers and the coordinator who need them, and chauffeurs do not discuss passengers or schedules with anyone outside the programme. We never publish the names of the people or organisations we drive.

Can the whole visit be billed on one invoice?

Yes. You receive one written quote for the programme and one invoice afterwards, broken down by day, vehicle or cost centre if your finance team needs it. Purchase order references can be added to both.
